# Billing

Institutions pay an annual license fee, typically handled outside of Redivis. Additionally, institutions may choose to pay some, or all, of the monthly [usage fees](https://docs.redivis.com/billing#usage-fees) incurred by their organizations.

The **Billing** tab of the institution administrator dashboard is where you can view information about current and historic bills and configure your institution's payment settings.

## Configure billing

To set up up billing, navigate to the **License and payment** tab. You can enter a credit card or contact us to change to invoiced billing.

To enable billing, provide the relevant information as well as an email address to send invoices. Your organization will automatically be billed on the first of every month.

## Viewing and paying invoices

You can view current and past invoices on the **Invoices** tab. You can double click on any of the listed invoices to view itemized details and make any necessary payments.

Invoices tied to a credit card will be automatically marked as paid. If your organization has opted for invoiced billing, you must manually pay these invoices within 30 days. Click on the invoice item and follow the instructions for remitting payment.

## Subsidizing organization usage fees

As an institution, you may want to subsidize some, or all, of the usage fees of a particular organization. Or, you may prefer that that organization settles it's monthly bill with Redivis directly.

When creating an organization, you'll be able to choose a subsidy configuration. You can also change this configuration at any time by going to the **Organizations** tab, clicking on the relevant organization, and editing its billing configuration.

* **Institution pays**: The institution will fully subsidize all of the organization's usage fees, which will be included in the institution's monthly bill.
* **Limited quota**: The institution will set a maximum dollar amount to subsidize organization usage fees. The organization will not be able to upload data such that they would exceed this quota, unless they add their own billing details. Organizations with limited quota will be billed for any costs beyond the quota amount.
* **Organization pays**: The organization will be fully responsible for its own usage fees, and no costs will ever be passed to the institution. The organization will need to configure billing prior to being able to upload data.

We recommend setting a nominal (e.g., $10/mo) subsidy for new organizations. This removes the friction of them needing to configure billing prior to uploading data and testing out Redivis, and can always be removed once the organization matures.

## Understanding usage costs

If your institution has elected to subsidize usage fees for any of its organizations (and those organizations have generated usage), you can utilize various administrative interfaces to understand your cost drivers and per-organization breakdowns.

### Usage costs chart

The billing overview displays a chart of [usage costs](https://docs.redivis.com/billing#usage-fees) for organizations that the institution is responsible for. This will include any organization whose bills the institution has opted to fully cover, as well as for those that are partially subsidized. You will not see usage that the organization is paying for themselves.&#x20;

For organizations that are fully subsidized, you will see the cost breakdown for each of their [usage SKUs](https://docs.redivis.com/billing#usage-fees) over the period. For organizations that are partially subsidized, you will see a single additional SKU, "Organization subsidy" which reflects the costs paid to such organizations during the period.

This chart can be filtered by organization or dataset, and shifted to different temporal ranges to view historic information and future projections.

### Viewing cost by organization

While this chart is helpful for seeing usage trends, and/or filtering down to a handful of organizations, you'll often want to see an aggregate cost breakdown, by organization.

To see the latest billed cost to your institution for each organization, navigate to the **Organizations** tab of the administrator panel and consult the "Latest bill" column.

To see a breakdown of organization costs for any invoice, [navigate to that invoice](#viewing-and-paying-invoices), and click **View organization breakdown**. This will download a CSV with information about each organization's costs during that invoice's billed period.

## Pre-purchase credits

In some circumstances, it may be helpful to pre-purchase account credits for your institution, which will then be applied to future invoices. To do so, navigate to the billing **License and payment** tab, and click the "Purchase credits" button at the bottom. You can either purchase credits directly via credit card or bank transfer, or issue an invoice that, once paid, will post the credits to your account.

These credits will automatically be applied to future invoices until they are depleted. Account credits never expire, and can be refunded at any time.
